Rapid business growth requires a modern, scalable ERP system to replace a set of legacy solutions that are poorly integrated – a common scenario for a fast-scaling company. The Koru Pharma’s team inspected all the available options of ERP systems and selected Microsoft Dynamics 365 Business Central as its core platform. Key selection criteria included wide market adoption, a large partner and specialist ecosystem, high-performance cloud infrastructure (Microsoft data center in South Korea), and competitive total cost of ownership.
The first communication about the project scope between Koru Pharma and Clarity Ukraine began in spring 2022. And the go-live took place in September 2025. The extended project timeline was driven primarily by the parallel scale-up of the business itself: construction of a pharmaceutical manufacturing plant, launch of new product lines and brands, and expansion into new markets. The project proceeded step by step with structured pauses and resumptions aligned to the readiness of the Koru Pharma team.

Koru Pharma serves thousands of customers across multiple countries and currencies, with its customer base continuing to grow.
Business Central supports customer-specific commercial conditions while ensuring consistent order processing regardless of market or currency.
The implementation standardized the entire sales order process, reducing manual work for sales managers. Pricing, lot assignment, reservations, and document generation are performed within a single workflow, improving both processing speed and data accuracy.
Lot selection for fulfillment follows the FEFO (First Expired, First Out) method – lots with the earliest expiry date are picked first. Item availability shown to managers reflects only unreserved stock. Both on-hand inventory and expected inbound receipts can be reserved against customer orders.
Before the implementation, inventory information was maintained across multiple systems, excel files and often required manual verification. Business Central significantly improved inventory visibility and control across the organization. Inventory data is now updated in real time, providing Sales and Warehouse teams with accurate and consistent information when processing customer orders and planning replenishment.
As a result, employees can rely on accurate inventory data, reducing errors, improving order fulfillment, and enabling faster decision-making.
The product catalog spans approximately 20 categories (fillers, threads, toxins, lipolytics, masks, injectables, etc.). Inventory is tracked at the lot/batch level with full expiry date control.
Business Central covers all processes relevant to Koru Pharma’s complex supply chain: goods receipt, warehouse pick and put-away operations, reservation against customer orders, and cycle counting. Bin-level (location) tracking was not in scope for this phase but represents a potential future enhancement.
At the time of requirements analysis, Koru Pharma had over 200 vendors. Prior to Business Central vendor’s price lists were not maintained in a system; managers relied on pricing history, and payment terms were tracked in Excel. Following the implementation, all vendor master data and price lists are maintained in Business Central, with prices automatically populated on purchase documents.
Freight costs are recorded in Business Central via tracking numbers, calculated at the order line level, and automatically allocated proportionally across items – increasing their cost.
Previously, purchase orders were manually exported from the legacy system to Excel and converted to PDF before being sent to vendors. Business Central now automatically generates and sends vendor emails with the purchase order as a PDF attachment.
Koru Pharma operates several bank accounts across multiple currencies. Prior to the implementation, exchange rates were entered manually each day from a Korean banking portal. Now Business Central retrieves and updates currency exchange rates automatically.
Bank statement processing, previously entirely manual, has been automated through direct file import from online banking systems. A notable customization was developed to handle a frequent business scenario: payments are often received from a third-party representative rather than the customer directly – Business Central matches the sender’s name to the correct counterparty automatically.
Automated upload of approved payment orders for vendor disbursements has also been configured.
The month-end close process includes: inventory cost adjustment, calculation of realized and unrealized foreign exchange gains and losses on vendor and customer balances, and revaluation of foreign currency bank account balances.
One of the most valued outcomes highlighted by Koru Pharma management is the ability to build comprehensive reports and dashboards in Microsoft Power BI. Business Central has become the single source of truth for operational data across the organization. The team has built internal expertise in configuring Power BI datasets and continues to develop its business intelligence capabilities.

Business Central went fully live on 1 September 2025. Following go-live, the Clarity Ukraine team continues to provide ongoing support. In parallel, Koru Pharma is progressively building internal Business Central competence to handle customizations, configuration changes, and end-user support.

This project is representative of a large international distributor implementation and reflects a high degree of complexity: a multi-currency operating model, sales to 80+ countries with exclusive distributor enforcement, lot-level tracking with expiry dates and FEFO picking, integration with Korean accounting and manufacturing systems, and a broad set of custom print forms and reports.
Prior to Business Central, we experienced slow system performance – particularly for our team traveling and working globally. The legacy system was hosted on our own servers. Now with Business Central we have a significantly faster and more stable cloud-based work environment, regardless of where our users are located.
