13 Years of Transformation: How Vilmate Adapts to a Changing Market

In August 2025, Vilmate celebrates its 13th anniversary. What began as a small but ambitious development team has grown into a company of over 150 professionals, with offices in Ukraine and Warsaw, and clients across the EU and the US.

Over the years, company faced and overcome major challenges — from market volatility and a global pandemic to war and a complete rethinking of business model. Each of these turning points helped us better understand who they are and where they want to go. Vilmate have learned to go beyond writing great code — and to become trusted, long-term partners.

The company’s values weren’t established overnight. They were shaped through experience, tested in times of crisis, and refined over time. Transparency, long-term thinking, consistent quality, open communication, and a shared drive for growth now form the foundation of everything company do.

Vilmate’s journey has been one of continuous evolution — shaped by challenges, adaptation, and the decisions that shaped who we are today. And now, we’re ready to share that story with you.

The Beginning of Transformation

Vilmate’s story began in 2012, with a small development team in Kharkiv and our very first client — a startup from Sweden. Company started with one project, one focused team, and a commitment to technical excellence. Vilmate delivered clean code, met deadlines, and took full responsibility for the outcome — and at the time, that was enough.

It was this professionalism that led GetCompliant, the first client, to entrust the company with building their product. That collaboration became more than just a successful case — it opened the door to new opportunities and helped us build a reputation as a dependable technology partner. More than a decade later, GetCompliant is still with us — a valued long-term partner and a testament to the strength of our relationships.

But as Vilmate grew, the company came to realize that writing solid code was no longer enough. To scale effectively and maintain long-term client relationships, it needed to rethink its role. That was the beginning of transformation — from an outsourced vendor to a committed partner, deeply involved in our clients’ processes, actively contributing to decision-making, and fully sharing responsibility for results.

Beyond the Code

As the company’s team expanded and the number of projects grew, the role in client collaborations began to evolve. Vilmate was no longer focused solely on software development — increasingly, but supported talent acquisition, facilitated communication, and engaged with the underlying business logic of each product.

This period marked the emergence of Vilmate’s first HR and recruitment processes, along with a structured approach to project management and team support. The company’s responsibilities extended beyond delivering code to ensuring the comfort, consistency, and transparency of the partnership.

It was a natural progression — but also a defining one. Vilmate was no longer just an external contractor handling isolated tasks. The company became an integrated part of its clients’ daily operations, aligned with their communication styles, expectations, and priorities. And with that, we took our first steps toward offering accurate, full-fledged service.

A Test of Resilience and a New Level of Responsibility

No transformation comes without trials. For Vilmate, those defining moments were the war in 2014, the COVID-19 pandemic, and the full-scale invasion of 2022. But these events were more than just challenges — they forced us to adapt, rethink our approach, and shape a new culture of responsibility.

Even before 2014, the company had fully migrated its infrastructure to the cloud. At the time, it was a purely technical decision. Still, it later proved to be a strategic one: in times of crisis, we never lost access to our data, weren’t tied to physical offices, and could continue working from anywhere. This strategy allowed Vilmate to maintain the trust of clients who had initially been cautious about working with Ukrainian teams.

During the pandemic, the company quickly transitioned to a remote-first model. But the transformation wasn’t just operational — it was cultural. Vilmate learned how essential it is to nurture informal connections, team cohesion, and emotional engagement, even when everyone is working from home. Regular online town halls, wellness initiatives, and a swiftly built volunteer tool for medical workers helped us preserve a sense of unity and trust.

This period also marked a deeper involvement in our clients’ processes — and with that came a new kind of responsibility, not just for task execution, but for the overall outcome. It was then that company began taking on fixed-price projects, where Vilmate independently estimated scopes, planned resources, and assumed financial responsibility for delivering on our commitments. This was a turning point for Vilmate as a company. It led to a new internal culture — one built around attention to detail, process predictability, and proactive problem-solving. Vilmate’s service evolved from technically solid to systematic, dependable, and deeply aligned with our clients’ business context.

In 2022, the company faced its biggest challenge yet — the full-scale war. Vilmate had to act fast: establishing a hub in Poltava, helping our teammates evacuate, equipping offices with generators, Starlink, and alternative communication channels. In the first week of the invasion, the company signed a new contract, and most of its teams were back to work within days, providing a sense of stability in the most uncertain times.

These experiences taught Vilmate more than just endurance. They shaped the company’s ability to make decisions under pressure, to act without hesitation, and to support people and operations simultaneously. Most importantly, they gave rise to a culture of internal resilience — where responsibility, trust, and care for the team are not “nice-to-haves,” but the foundation of Vilmate’s everyday work.

The Transformation Continues

In 2025, Vilmate is a team of over 150 professionals, with offices in Ukraine and Warsaw, and clients across the US, Sweden, and the EU. The company continue to evolve its internal processes, invest in leadership and management, expand its expertise, and adapt its services to meet the changing needs of the market.

Today, Vilmate has made a strategic decision to focus on eCommerce — a domain where it can act not just as technical executors, but as full-fledged partners helping businesses scale and reach its long-term goals. With several successful projects already behind the company, it sees growing demand for teams that understand both the code and the business behind it. That’s why the company has confidently chosen this direction for its continued growth.

At the same time, Vilmate is strengthening its engineering capabilities — exploring emerging technologies, cultivating a culture of quality, and reinforcing our technical leadership. Vilmate is also rethinking its marketing strategy: staying closer to the market, sharing our experience, and attracting partners who resonate with our values.

In this 13th year of Vilmate’s journey, the company continues to move forward — as a team committed to growth, transformation, and building a new standard of service.
